How To: Manage Your Email Account
As an employee with email you'll eventually receive an email that is similar to the following notifying you that your email account is almost full:
"You have reached the Mailbox threshold value that had been set for you. You are now using 90% of XXX.00 MBs allocated to you. Delete unwanted mails to free up some space.
Or if you haven't checked your email account at all recently it might be full and you'll receive a message similar to the following and be unable to send or receive email:
Your mailbox has exceeded one or more size limits set by your administrator. Your mailbox size is 33875 KB. Mailbox size limits: You cannot send mail when your mailbox reaches 25600 KB. You cannot send or receive mail when your mailbox reaches 33280 KB. You may not be able to send or receive new mail until you reduce your mailbox size. To make more space available, delete any items that you are no longer using or move them to your personal folder file (.pst). Items in all of your mailbox folders including the Deleted Items and Sent Items folders count against your size limit. You must empty the Deleted Items folder after deleting items or the space will not be freed. See client Help for more information.
You should be aware that all emails in any folder (including Sent and Deleted Items) count against your size limit. To resolve these warning messages we'll need to delete email from the account. The first step towards this goal is to empty your Deleted Items folder as they're emails you didn't wany anyway.
The first step after logging into your email account is to Right Click on the Deleted Items folder and to choose Empty Deleted Items from the menu that appears.
What we also suggest is that you delete any sent items that you do not need and then delete them from the Deleted Items folder as well.
